Department: Business Development 

Reports to: Business Development Manager / Head of Sales 

 

Role Summary 

We are looking for a detail-oriented Sales Support Coordinator to bridge the gap between a successful sales pitch and the final delivery of services. You will take the lead once a proposal is presented, managing the "paperwork and process" side of the deal. Your mission is to ensure contracts are signed, invoices are paid, and clients provide the necessary materials for our team to begin work on time. 

  

Key Responsibilities 

  1. Sales Support Administration 

    • Take over the workflow immediately following a BDM's proposal presentation. 

    • Manage the delivery and tracking of final contracts and Service Level Agreements (SLAs). 

    • Assist with clients’ inquiries when BDMs are in the field 

    • Act as the secondary point of contact for clients to resolve administrative or billing queries. 

    • Part of the liaison personnel with the Legal or Finance departments to finalize client agreements. 

 

  1. Financial Liaison (Billing & Collections) 

    • Assist in generating and issue invoices based on agreed-upon proposal terms. 

    • Proactively follow up on overdue payments to ensure healthy cash flow. 

    • Coordinate with the Finance department to verify payment receipts before project kick-off. 

    • Track invoice and payment status and escalate discrepancies to Operations and Finance.  

 

  1. Client Material & Deliverable Management 

    • Coordinate between Sales, Marketing, Operations, and Finance to ensure smooth client onboarding 

    • Create "onboarding checklists" for new clients to outline what materials are needed (e.g., brand assets, data, access credentials). 

    • Maintain an organized repository of all client-provided assets and signed documentation. 

    • Aggressively follow up with clients to ensure all deliverables are received by the agreed deadlines. 

    • Alert the BDMs and Operations team if delays in client materials will impact project timelines. 

 

  1. CRM Management 

    • Maintain and update the CRM system to ensure data integrity. 

    • Generate weekly and monthly sales activity reports for leadership. 

    • Support CRM access coordination and flag systems or data issue for resolutions. 

 

  1. Market Research & Lead Gen Support 

    • Conduct preliminary research on prospects and industries to brief the sales team before meetings. 

    • Assist in identifying new potential leads through LinkedIn or industry databases. 

 

 

Skills & Qualifications 

Experience: 1–3 years in a sales support, admin, or customer service role. 


Tech Stack:

Proficiency in CRM software and Microsoft Office. 


Communication:

Exceptional written and verbal communication skills. 


Organization:

Ability to multitask and prioritize urgent requests in a fast-paced environment. 


Attention to Detail:  

  • Persistence and Close monitoring: Persistently follow up with clients who are slow to pay or provide materials. 

  • Financial Literacy: Comfortable working with invoices, tax requirements, and payment terms. 

  • Process-Driven: Enjoy creating checklists and workflows to ensure a timely delivery by all related parties.
